Conference Guides for [IEEE-CIS, INNS] conferences : Although this guide was initially set up for IJCNN2019, and was used for IEEE WCCI 2020, hopefully some of the basic information may still help [organising committee members, authors] up to 2023-2025 (assuming a half-life of links and process information of 3-5 years?). Travel visas for Hungary

The information below comes out immediately with a simple web-search, so it's probably not of much help. However, if you have [strong, useful] recommendations that may be useful to other [WCCI,IEEE-CEC, IJCNN, IEEE-FUZZ] attendees, please email to the Travel visas blog (see the menu near top of this page to go to the blog). Note that you have to do the travel visa applications yourself, as it does NOT involve the conference Organising Committee.

Several other documents are required for visa applications, of which I only show a few below :
- Travel medical insurance
- certificate of the financial coverage of his/her expenses
- a certificate of the purpose of the visit.
- For the purpose of attending a conference: invitation letter issued by the host organization, confirmation on participation issued by the host organization, and/or a certification issued by the delegating organization; receipt on payment of the registration fee.

Publications Chair comment : ??While invitation letter were provided by the conference Organizing Committee in the past, this is not normally the case anymore.??
Visa fees 60 EUR for Uniform visa short-term entry visa(C)
As stated in the "Short term stay" visa application description :
"... Attention! A visa is only apreliminary permission for entry, which does not authorize its bearer automatically to enter the country. The traveller may be requested to provide proof of the existence of the conditions of his entry and stay in Hungary and, if he is not able to fulfil this, he may be returned from the border. ..."
Countries for which travel visas are NOT required for stays <60 days

European Schengen Area
Hungary joined the Schengen Area on 21 December, 2007. From that time visas and residence permits issued by one of the Schengen Member States are valid also for Hungary, and visas/residence permits issued by Hungarian authorities are - as a general rule - also valid for the entire Schengen Area.
Schengen Countries include three non-EU members (Iceland, Norway, and Switzerland):
Austria, Belgium, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden, Switzerland
non-Schengen EU members : Bulgaria, Cyprus, Ireland, Romania and the United Kingdom still do not participate in the Schengen cooperation
Citizens of the EU/EEA member states and of the following countries may travel to Hungary without a visa and may stay there for a maximum period of 90 days:
Andorra, Argentina, Australia, Brazil, Brunei, Canada, Chile, Costa Rica, Croatia, Guatemala, Holy See, Honduras, Hong Kong (the exemption applies only to holders of a "Hong Kong Special Administrative Region"), Iceland, Israel, Japan, Macao (the exemption applies only to holders of a "Regio Administrativa Especial de Macau" passports), Malaysia, Mexico, Monaco, New Zealand, Nicaragua, Norway, Panama, Paraguay, Salvador, San Marino, Singapore, South Korea, Switzerland, United States of America, Uruguay, Venezuela

The "Authors' Guide Blogs" (see links in manu near top of page) are in an early draft form, and are being run on a trial basis. Comments are moderated by the Publications Chair before posting, so expect delays of at least a day or so before they appear. Note that emails have been edited - usually by [omitting salutations, endings], but also by omitting material not relevant to the "theme" under which the emails are placed below.
REMINDERS :
This Authors' Guide is specific to the IEEE conference paper system, and for the most part links to, or repeats, information that is COPYRIGHTED by the IEEE. Keep in mind that the IEEE processes something like 1,800 conferences per year, and delays exceeding a week are to be expected, with longer delays during high-activity parts of the year. So don't wait too long before starting each process!
Author preparations for the conference include (roughly in squence) :

Initial submission of your paper to the IEEE paper review system.

Receipt of an email paper acceptance notification from the Program Co-Chairs via the IEEE paper review system.

Payment of the conference registration fee. At least one of the co-authors must be registered for the conference to present the paper.

IEEE approval of a signed IEEE electronic Copyright form (eCf) (online submission)
-
Submission and approval of a properly revised final paper.
-
Travel visa approval, for citizens of countries required to do that by Hungary.
